Baylor Scott & White Medical Center - Sunnyvale is seeking a HR Generalist who under the supervision of the Director of Human Resources performs a variety of Human Resources functions in an independent manner. Knowledgeable of applicable laws, regulations and standards related to the human resources functions.

- Maintains education and development appropriate for the role. Ensures personal education such as compliance with online education requirements and certifications (if applicable) are maintained to meet position requirements.
- Completes position responsibilities by following the established guidelines and protocols with the appropriate time frame. Ability to prepare management paperwork. - Performs routine management duties, including assisting with general office duties as needed to maintain an efficient department. Performs miscellaneous job-related duties as assigned.
- Compiles data regarding HR compliance, orientation, turnover, vacancies, and assists the Director of Human Resources in the analysis. Analyzes data to develop policies and resources for employee relations issues, recruitment and retention issues. Prepares reports for department directors and administrators, as needed.
- Consults with employees regarding staffing concerns (employee relations), needs, goals and objectives. Assists staff through processes such as transfers, promotions, status changes, tuition reimbursements, licensure and/or credential updates and changes. Escalates to obtain engagement at the HR Director or leader level, as appropriate.
- Oversees the employee and contractor on-boarding and orientation programs. Coordinates processes with recruitment and on-boarding staff. Obtains all required documents for contract staff and enters them into the contractor database. Audits & tracks new hire candidates through hiring process and obtains all documents and employee health clearances prior to hire through the Silkroad Redcarpet system. Monitors and tracks all candidates through the Precheck background check process, as well as, the Med/Tox Labcorp online system. Maintains checks and updates all licenses and credentials information and updates the database with primary source verified documents for contractors and employees.
- Timely preparation of all personnel change notices and submits to payroll. Regarding terminations, processes timely within HRMSweb, KRONOS and all other applicable systems. Completes all exit checklists and schedules exit interviews for HR Director. Sends notification emails to all on the security team.
- Assistance with the maintenance of Position Control, corrects errors efficiently from reconciliation reports. Understand how errors originate, takes action to correct, communicate and prevent errors from occurring again. Works with leadership to assist them with understanding position control, as needed. Prepares information for Joint Commission, as requested.
- Responsible for managing contract labor database by partnering with leaders and responding to request to ensure tracking and trending of needs. Develops strong working relationships with colleagues across departments and seniority levels
- Responsible for processing leaves of absence by working as a liaison with the facility and the LOA coordinators from home office and the online Leave Management system. Assist the Employee Health nurse with worker’s comp claims, and following up on correspondence, when needed.
- Maintains, creates and updates all current job descriptions.
- Manages the tuition assistance program, the sign-on bonus program and the employee referral program. Notifies appropriate departments of amounts owed from terminated employees (payroll, finance, etc.) and assists with initial collection letters.
- Provides oversight over personnel files with the HR Representative’s assistance. Maintains current and updated employee files as regulated by the hospital and other governing offices. Performs data entry into the hospitals employee database system (HRMSweb) and badge access systems. Maintains department records, files, policy and procedure manual to meet compliance with federal, state and local laws and Regulations. (Joint Commission and DOL). Ensures Human Resources' policies and procedures are followed.
- Maintains strict confidentiality of all Human Resources and payroll information and maintains confidentiality of other information related to the hospital and related parties.
- Assists the Human Resources Director with research and other special projects. Manages and operates equipment safely and correctly. Demonstrates the ability to schedule meetings and plan events for the department and the hospital. Answers the telephone in a professional manner; directs calls appropriately. Demonstrates the ability to be flexible and organized.
- Assists the Human Resources Director with recognition programs, service award programs (when applicable), as well as, employee engagement activities.
- Manages all internal employee communication activities, maintenance of bulletin boards, updates and notifications to the intranet, flyers, photography, etc.
- Assists the HR Director with annual employee evaluation and merit processes. Provides assistance with compensation projects, as needed.
- Provides information needed for claims for unemployment. Coordinates unemployment hearings and works with department directors to represent the hospital, as needed.
- Responsible for the insurance processing by ensuring those eligible employees have completed enrollment forms before the employees waiting period is up, when applicable. Provides initial assistance with Disability requests, AD&D claims, etc. Works with centralized benefits and audits monthly medical, dental, life and other insurances for accuracy. Ensures timely enrollment for new hires or staff experiencing status changes. Organizes and holds annual benefits meetings.
- Completes and maintains I9 documentation for all employees, as well as E-verify.
- Assists all hospital Directors, Managers, and Supervisors to enforce human resources policies and practices.
- Performs other duties as assigned.
Success Factors:
- Bachelor’s degree required
- Three to five years of recent Human Resources Generalists experience.
- PHR preferred
- Ability to effectively communicate in English; both verbally and in writing.
- Additional languages preferred.
- Excellent computer knowledge and skills in working with spreadsheets, publishing and graphics programs, and data entry. Includes Oracle (MyHR), PreCheck, E-verify, Silkroad RedCarpet, MedTox Drug Screening, Leave Administration. and TALEO.
- Possess organizational, analytical and critical thinking skills.
- Ability to use all office equipment.
- Able to type 60-70 words per minute, accurately.
